Admission campaigns are won before the season starts. Search pages, Google profiles and reviews need three to six months to work, so they start in the quiet months; paid media, open days and counseling peak when parents and students actually decide. For most Indian schools that means preparing from June, building demand from September, capturing inquiries from November and converting from January. Colleges follow exam and result dates, MBA programs follow entrance exams, and online programs run two intakes a year. Plan backwards from your deadline and judge each month by cost per admission.
Why timing decides admissions
Most institutions start marketing when the admission notice goes out. By then, the parents who plan early have already shortlisted, the search results are already set, and ad prices are at their highest because every competitor starts on the same day. The institutions that fill seats early do the slow work (pages, profiles, reviews, content) in the quiet months and save the budget for the weeks families decide. This calendar sets out that rhythm for every part of Higher education and school admissions, so the work is ready when demand arrives.
The four seasons of an admission cycle
Every cycle, whatever the program, moves through the same four seasons. Only the months change.
| Season | What families do | What you do | Main channels |
|---|---|---|---|
| Prepare | Nothing yet | Fix pages, profiles, tracking and offers | SEO, Google Business Profile, website |
| Build demand | Start researching | Publish guides, collect reviews, run awareness | Content, YouTube, Meta, AI visibility |
| Capture | Compare and inquire | Peak ads, open days, fast follow-up | Google Ads, Meta lead ads, WhatsApp, events |
| Convert | Decide and pay | Counsel, remind, help with forms | Counselors, nurture, retargeting |
The school calendar (academic year starting April)
Most Indian private schools admit for an academic year that starts in April, with forms and lists between December and March. Some cities run a fixed schedule for entry classes: in Delhi, for example, private school registrations for nursery to class 1 opened in early December for the 2026-27 session, with lists from late January and a final round in March. Check your state's schedule every year and plan backwards from it.
The school admission calendar in five seasons from June to May, and the focus of each. Steps in order:
- June to August (prepare: campus pages, Google profiles, tracking). Main focus: foundations
- September to October (build demand: parent guides, reviews, awareness video). Main focus: trust
- November to January (capture: search and Meta ads, open days, fast follow-up). Main focus: inquiries
- February to March (convert: counseling, reminders, fee and document help). Main focus: admissions
- April to May (welcome and review: onboarding, referrals, budget review). Main focus: learning
- June to August: prepare. Audit every campus page and Google Business Profile, fix fees, transport areas and admission dates in plain text, set up call tracking and UTM tags, and connect forms to the CRM. Shoot campus video while classes are running.
- September to October: build demand. Publish the parent guides (board comparison, admission process, fees), push review requests after results and events, and start low-budget awareness video to parents within your radius. Check what AI assistants say about your school.
- November to January: capture. Open admissions with search ads on "school near me" and board terms, Meta lead ads and WhatsApp ads, weekly Google posts, and open days every two to three weeks. Call every inquiry within 15 minutes in working hours.
- February to March: convert. Shift budget from new leads to retargeting and counseling. Remind families of deadlines, help with documents and fees, and follow up on every visit that did not apply.
- April to May: welcome and review. Onboard new families, ask happy parents for reviews and referrals, and compare cost per admission by channel and campus before setting next year's budget.
The college and university calendar
Colleges follow exam and result dates rather than a fixed month. Map your programs to the dates your students wait for.
When to capture students for undergraduate, MBA, online and international programs. 4 columns under “Plan backwards from the date students wait for”, on a base of “Pages, profiles and reviews stay always on”:
- Undergraduate: board results and entrance exams; capture May to August
- MBA and postgraduate: CAT in late November, results in January; capture January to April
- Online programs: January and July intakes; capture 6 to 8 weeks before each
- International: September and January intakes; capture 6 to 9 months ahead
| Program | Prepare | Build demand | Capture | Convert |
|---|---|---|---|---|
| Undergraduate | October to December | January to April | May to August | July to September |
| MBA and postgraduate | July to September | October to December | January to April | March to June |
| Online, January intake | August to September | October | November to December | December to January |
| Online, July intake | February to March | April | May to June | June to July |
| International, September intake | September to November | December to February | March to June | June to August |
The six weeks before any deadline
Whatever the program, the last six weeks before a deadline deliver a large share of applications. Run them as a sprint.
A six-week sprint plan before an admission deadline. Week 1 to 6:
- Raise budgets on proven campaigns: weeks 1 to 6
- Retarget visitors and webinar attendees: weeks 1 to 6
- Last open day or live Q&A: weeks 2 and 4
- Counselor calls to every warm lead: weeks 3 to 6
- Deadline reminders by WhatsApp and email: weeks 4 to 6
- Application help sessions: weeks 5 and 6
- Move budget to what already works. The sprint is not the time to test new channels.
- Retarget everyone who showed interest: site visitors, video viewers, webinar attendees and form openers.
- One last event: an open day or live Q&A with faculty and current students.
- Reminders that help: what is still needed, how to pay, who to call.
- Counselors call every warm lead at least once in the final three weeks.
Budget by month
Spread money by when families decide, not evenly across the year.
Monthly budget share = expected admissions decided that month ÷ total admissions for the cycle. Use last cycle's admission dates from your CRM. If 40% of last year's admissions came in January and February, those two months get roughly 40% of the paid budget.
Keep a fixed base for always-on work (SEO, Google profiles, reviews, content) through the year, typically a fifth to a third of the total, because that work takes months to pay back and cannot be switched on in the last week.
The monthly review
At the end of every month, five questions:
- How many inquiries, visits, applications and admissions did we get, by channel and campus or program?
- What did each admission cost, by channel?
- How fast did we reach new inquiries (median minutes)?
- Which pages, ads and events produced applications, not just leads?
- Is next month's plan still right for the dates ahead?
Checklist
Common mistakes
- Starting when the notice goes out. The shortlist is already forming.
- Spending evenly across the year. Families decide in a few weeks; budget should follow them.
- Switching SEO and reviews off after the season. They take months to rebuild.
- Testing new channels in the final weeks. Put the money behind what already works.
- No post-season review. The same mistakes repeat next year.

Questions people ask
When should a school start its admission campaign?
Preparation from June, demand building from September and active campaigns from November for an April start, adjusted to your state's schedule. Search pages, Google profiles and reviews need months, so they come first.
When do colleges in India start admission marketing?
It depends on the program: undergraduate demand follows board results and entrance exams, MBA demand follows CAT and other entrance exam results, and online programs usually run January and July intakes. Start preparing four to six months before the capture season.
How should we split the admission budget across months?
Keep a fixed base for always-on work, then spread paid media by when admissions were decided last cycle, using your CRM data.
What is the most important part of the admission season?
Fast follow-up in the capture season. A well-timed campaign still loses families if inquiries wait a day for a call.
What should we do after admissions close?
Review cost per admission by channel and campus, ask new families for reviews and referrals, and fix pages and profiles before the next cycle starts.
